Data Reporting
Business Intelligence (BI) Team
The Business Intelligence (BI) Team, part of the Department of Technology Services (DoTS), supports Seattle Public Schools by providing accurate, reliable, and timely data reporting. We ensure the District has internal decision-making data when needed and fulfills required state and federal reporting obligations using data from the District’s student and staff information systems.
What We Do
The Business Intelligence Team supports Seattle Public Schools through the following key activities:
Compliance and Regulatory Reporting
We prepare and submit required reports to state and federal agencies, including:
- Washington State Office of the Superintendent of Public Instruction (OSPI)
- Basic Enrollment Reporting (P223)
- Comprehensive Education Data and Research System (CEDARS)
- U.S. Department of Education – Office for Civil Rights
- Civil Rights Data Collection (CRDC)
These submissions ensure the District remains in compliance with state and federal regulations.
Partner Reporting
- Provide Automated Data Reporting (ADR) for approved community-based organization (CBO) partners.
- ADR data sets are structured, de-identified extracts designed to support program operations and service coordination.
- Support reporting related to voter-approved capital levies, including Proposition 2, Building Excellence VI (BEX VI).
Public Records and Data Requests
- Fulfill student data-related public records requests in accordance with privacy laws and District procedures.
- Respond to approved requests for aggregate or de-identified operational data when appropriate.
Research Requests:
Requests for data intended for formal research studies, program evaluation, or academic research are managed by the Research & Evaluation (R&E) Department, not the Business Intelligence Team.
Please visit the Research & Evaluation webpage for information about research applications, data-sharing agreements, and study approvals.
Internal Data Support
- Respond to ad hoc data requests from district leadership, school administrators, and central office teams.
- Develop and maintain operational dashboards and reports to support district planning, compliance, and student success initiatives.
Data Privacy and Security
Seattle Public Schools is committed to protecting the privacy and security of student and staff data. The District strictly adheres to the Family Educational Rights and Privacy Act (FERPA), which governs access to and sharing of educational records.
FERPA applies to all schools receiving federal funding under applicable U.S. Department of Education programs.
Our Data Security Practices
- Safeguards are in place to prevent unauthorized access, disclosure, or misuse.
