    Two-Way Communication Platform

    The goal of this project is to implement a two-way communication platform that allows the community to provide input and feedback to the district. This initiative addresses Strategic Plan Goal 3: School, Family, & Community Engagement. Before a Request for Proposal (RFP) was issued a project team consisting of members from the Community Engagement Taskforce and central office was formed to gather requirements to ensure the district identified the correct solution to supplement our current method of gathering feedback, which includes face-to-face meetings, emails and surveys. Two companies emerged as finalists out of the RFP, Bang My Table and Thought Exchange and completed in-person demonstrations May 25 and May 26. This item is scheduled for School Board Introduction on June 28 and Action July 5. The timeline for integrating the new platform is July 2017 with training and implementation occurring August 2017.

    Online Enrollment and Registration

    Online Enrollment/Registration –The new Online Registration forms service allows families to enter and update their information easily online, where it will be validated as needed and automatically entered into the PowerSchool database for reference at the schools. Information on family contacts, medical conditions, and many other items can be updated immediately to provide for better safety and security of our students. The new service includes the SPS Enrollment Form completed by new families and the SPS Student Verification Form that is sent out annually to all students’ families to update their student information. The online forms will be ADA Accessible. Because the online forms will be accessed via the web, families may complete the forms from their homes, any district locations, public libraries, etc. Putting the Enrollment Form online for automatic entry to PowerSchool will save over $100,000 per year in Enrollment Services staff overtime and additional hourly substitute time that is required to enter enrollment forms manually. Adding the Student Verification Form online will save time for school staff who manually print and distribute the forms to each student and then collect and input the changed data. This new process will be quicker, more secure and result in better data entry. Paper forms may still be made available as needed.

    This new service leverages the District’s investment in the PowerSchool Student Information System. Board approval of this contract was obtained on May 17, 2017. The implementation timeline is estimated to begin in June and finalize between September and December, 2017.
